Drivers and licenses

One profile per driver. Zero licenses expiring without warning.

ID number, phone, license class and expiry date. Assigned vehicles, driver scoring and automatic alerts before the license expires.

A driver with an expired license means a traffic fine, a service disruption, a customer without a delivery and, in commercial transport, possible secondary liability for the company. Trackia turns license control into an automatic process: a profile per person, a recorded date, a warning weeks before expiry and a visible flag in the list as the date gets closer.

What the transport manager needs, without Excel macros

Built for fleets with C+E drivers, but just as useful for any fleet with more than 5 drivers.

Complete driver profile

Name, ID number (DNI), phone, license class (B, C, C+E…), expiry date, assigned vehicles and status. All the operational information on one screen, with no side spreadsheets.

Automatic alert before expiry

Set how many days ahead you want the warning (30, 45, 60). Email notification to the transport manager and the driver, plus a visual flag in the list as the date approaches.

Flexible driver-vehicle assignment

A vehicle can have several drivers on different shifts, and a driver can handle more than one vehicle. Each assignment is logged for auditing and to tie events to the person actually responsible.

Per-driver scoring

Acceleration, braking, cornering, idling, speeding and fuel use. A score for each driver you can use for training, bonuses or spotting who needs extra support.

Visual flag when a license is about to expire

In the driver list, licenses close to expiring show up in red. Zero surprises at a roadside inspection and no trips made on an expired license because of an admin oversight.

Onboarding, offboarding and transfers without losing history

When a driver leaves, their data is archived, but their full history of routes, events and scoring stays available for future audits or customer claims.

Frequently asked questions

What people ask us most about this topic.

What happens to the data of a driver who leaves?

It’s archived, not deleted. Their profile becomes inactive and stops showing up in operational selectors, but their full history (routes, events, scoring, reports) stays accessible for audits, claims or disciplinary dismissals. It meets the retention periods that the LOPDGDD (Spain’s data protection act) requires for employment data.

Does the driver also get the license expiry warning?

Yes, if you set up their email or they use the Trackia mobile app. By default the warning goes out 30 days ahead to both the transport manager and the driver; the lead time is configurable per fleet or per person.

Does it integrate with the digital tachograph to download the driver card?

Yes. Driver card data (DDD files) is matched with the driver’s profile in Trackia, which avoids entering drivers twice and lets you see driving times, rest periods and infringements in the same dashboard where you manage vehicles and routes.

Can drivers view their own profile from the mobile app?

Yes, with limited permissions. They see their assigned vehicles, their score, their driving times and the status of their license. They don’t see data on the rest of the fleet or company settings. Useful for helping drivers stay aware and improve.
