How much fleet software costs in Spain

May 13, 2026 · Suso Merino · CEO

Calculator and notes with a breakdown of business software costs

The price of fleet management software in Spain is one of the most poorly published figures in the industry. Almost no platform shows it on its website. When you ask for a quote, you usually get a PDF with mixed-up fees, leased hardware hidden inside the monthly fee and minimum-term clauses that only appear on page 6.

This guide puts real numbers on the table, with honest ranges and the components that must appear itemized in any serious quote. The goal is that when you receive the next PDF from a sales rep, you know how to read it in five minutes.

The realistic range

In 2026, for a midsize fleet (10 to 200 vehicles) in Spain, the total cost usually falls within these bands:

  • Software subscription: between €12 and €28 per vehicle per month.
  • Teltonika hardware per device: between €80 and €200, as a one-time payment or in separate installments.
  • Physical installation per vehicle: between €60 and €120 the first time.
  • Data SIM: between €2 and €5 per vehicle per month (sometimes included in the subscription).

Any offer substantially below this range usually hides one of three things: expensive leased hardware over 36 months, an abusive minimum term, or heavily stripped-down functionality (location only, with no analytics or predictive maintenance).

Any offer substantially above it, without a clear justification (complex integration, multi-country compliance, enterprise deployment), is usually sales margin.

Breakdown by component

To understand the price, it helps to separate the four components that are always there and that almost never appear separately in the initial PDF.

1. Hardware

The Teltonika hardware used in the Spanish market sells at around these reference prices:

  • FMM003 (LTE Cat M1, ideal for urban fleets and light commercial vehicles): between €80 and €120 per unit.
  • FMC003 (LTE Cat 1, ideal for mixed fleets with Europe-wide coverage): between €120 and €180 per unit.
  • Eye Beacon BTSID1 (BLE for passive driver or asset identification): between €25 and €40.
  • Eye Sensor BTSMP1 (BLE for temperature, humidity, movement or door opening): between €35 and €55.

These ranges are what a professional provider pays the official distributor. If a sales rep bills you double or hides it inside a monthly fee, they’re selling you the device twice. We’ve broken down the full catalog in Teltonika FMM003, FMC003 and Eye: differences by fleet type.

2. Software subscription

This is the recurring monthly fee per vehicle. In 2026 the typical ranges are:

  • Basic plan (location, geofencing, reports): between €8 and €15 per vehicle per month.
  • Professional plan (the above + advanced alerts + ERP integration + app): between €15 and €22.
  • Advanced plan (the above + predictive AI + predictive maintenance + API): between €22 and €28.

Platforms that charge €30+ per vehicle per month are usually enterprise-oriented, with a written SLA and 24/7 support, which makes sense for large fleets but rarely for an SMB.

3. Installation

Physical installation per vehicle runs between €60 and €120 the first time, depending on three factors:

  • Vehicle type (a car is quicker than a rigid box truck).
  • Whether the installer comes to your premises or you take the vehicles to a workshop.
  • Whether it requires additional wiring for CAN-bus, BLE sensors or Eye devices.

Some providers bill this as open-ended “engineer hours” at €80-100/hour. Always ask for a fixed price per vehicle, not by the hour. If they bill you by the hour and it’s four vehicles in one morning, you’re going to overpay.

4. Data SIM

Multi-network SIM connectivity (with EU roaming included) costs between €2 and €5 per vehicle per month. Some platforms include it in the subscription; others bill it separately. It isn’t the most expensive line item, but ask for clarity on roaming outside the EU if your fleet crosses into the UK, Switzerland or Norway.

Estimated total cost for a 30-vehicle fleet

To bring the range down to a concrete number, here’s the approximate calculation for a midsize fleet on a professional plan:

ItemUnit costYear 1 total (30 vehicles)
FMM003 hardware (one-time payment)€100€3,000
Installation€80€2,400
Software subscription (€18/month)€18 x 12€6,480
Data SIM (€3/month)€3 x 12€1,080
Year 1 total€12,960
Year 2 onward (recurring only)€7,560/year

That works out to an approximate average cost of €36 per vehicle per month in the first year and €21 per vehicle per month from the second year onward, once hardware and installation have been paid off.

For smaller fleets (fewer than 10 vehicles), the cost per vehicle rises somewhat because installation is spread across fewer units. For larger fleets (more than 100 vehicles), it falls thanks to volume discounts.

Common pitfalls

In ten years of reviewing competitors’ offers, we’ve seen the same pitfalls over and over. These are the five that distort the comparison the most.

Abusive minimum terms

Minimum terms of 36, 48 or even 60 months tied to hidden hardware financing. If the monthly fee looks very low, always read the minimum-term clause. Twelve months at most is reasonable, and ideally no lock-in at all. If you do need a minimum term, it should be explicit, with early cancellation penalized by a clear figure, not by “the rest of the fees until the end of the contract.”

Hidden hardware leasing

Some providers bundle the cost of the hardware into the monthly fee without itemizing it. After three years you’ve paid €1,500 for a device that costs €100, and when the contract ends it isn’t yours. Always ask for a separate hardware invoice or an explicit lease fee with a purchase value at the end.

Proprietary hardware

If the device only works with platform X, you’ve lost your independence. The day you want to switch providers, the hardware is worthless. Always work with standard hardware (Teltonika is the de facto standard in the European market), and the option of moving your devices to another platform stays open.

Installation billed as engineer hours

We’ve already mentioned it: ask for a fixed price per vehicle, not open-ended hours. A morning in the workshop with four vehicles can go from €320 (fixed price) to €560 (seven hours at €80) without the actual work changing.

Hidden premium features

“Your plan doesn’t include predictive maintenance; you need to move up a tier.” “The REST API is on the enterprise plan.” “Monthly reports are billed separately.” Any feature you’re going to use regularly should be included in the plan you sign. Ask for a written list of exactly what your plan includes before signing.

How to request a comparable quote

To make offers from three providers comparable, always ask for:

  1. Itemized year 1 total cost: hardware, installation, subscription, SIM.
  2. Year 2-3 total cost (recurring only): to see the real cost once it’s deployed.
  3. A written minimum-term clause: months, the exact cancellation penalty, what happens to the hardware at the end.
  4. A list of the features included in the plan offered: in writing, not verbally.
  5. The cost of adding one more vehicle mid-contract: if your fleet grows, this matters.

With these five data points in hand, you can compare three offers in an Excel spreadsheet with no surprises. Without them, you’re comparing apples and oranges.

Wrapping up

Serious fleet management software in Spain in 2026 costs what it costs: between €12 and €28 per vehicle per month in subscription fees, plus hardware you own. Any offer far below that is hiding something, and any offer far above it needs a very good justification.

At Trackia we publish our plan price ranges openly. You can review them on our plans and pricing page and ask us for a fixed quote for your fleet with an explicit breakdown of the four components. No lock-in contract, and hardware you own from day one.
